IBPS Photo, Signature, Thumb and Declaration Size (Free)
IBPS PO, Clerk and RRB forms want four JPG uploads: photo, signature, left thumb and handwritten declaration. How to make each one clean and in range, free.
Published · 6 min read
IBPS applications for PO, Clerk and RRB posts ask for four JPG uploads: a photo, a signature, a left thumb impression and a handwritten declaration, each with its own pixel size and KB range set out in the notice's scanning and upload annexure. The free image compressor gets each file into its range on your own device.
The figures below are from IBPS's own notification for CRP PO/MT-XVI (Vacancies of 2027-28), Annexure III "Guidelines for Scanning and Upload of Documents", published on ibps.in on 1 July 2026. Always use the figures printed in the notice you are applying under, since other IBPS notices may differ.
The four uploads, per the IBPS CRP PO/MT-XVI notification (2026)
| Upload | Pixels (preferred) | Size |
|---|---|---|
| Photo | 200 × 230 | 20-50 KB |
| Signature | 140 × 60 | 10-20 KB |
| Left thumb impression | 240 × 240 at 200 DPI (3 × 3 cm) | 20-50 KB |
| Handwritten declaration | 800 × 400 at 200 DPI (10 × 5 cm) | 50-100 KB |
The notification also says the signature must be in black ink and not in capital letters, and that a declaration in capitals will not be accepted. If your notice differs, the notice wins. It also asks for a live photo, captured through your webcam or phone during the form, in addition to the uploaded photo.
How to find the numbers in your IBPS notice
- Open the detailed notification PDF for your post on ibps.in.
- Search the PDF (Ctrl + F, or "Find in page" on a phone) for "thumb" or "declaration". That takes you straight to the scanning annexure.
- Write down, for each of the four files: pixels, KB range, ink colour, and any rule such as "not in capital letters".
- Copy the declaration text word for word. It's printed in the notice, and you'll write it by hand.
The thumb impression: getting a clean print
The thumb impression is the upload people find hardest, because it's easy to smudge and hard to judge on a small screen.
- Ink lightly. Press your left thumb onto a black or blue stamp pad once. Too much ink fills the ridges and you get a black blob.
- Roll, don't press. Place the thumb on plain white paper and roll it gently from one side to the other, then lift straight up.
- Do three or four on the same sheet and pick the clearest one.
- Photograph it in daylight, phone held flat and steady, close enough that the print fills a good part of the frame. Tap the screen to focus on it.
- Crop square. (The cropper and resizer don't take HEIC; convert iPhone HEIC photos first.) In the free image cropper choose Square 1:1, frame the print with a small white margin, save as JPG and click Crop image.
- Resize in the free image resizer to the pixels in your notice (240 × 240 in the CRP PO/MT-XVI notification) with Lock proportions on.
- Compress in the free image compressor: JPG at 80%, then check the size against the range. If it's under the minimum, use the resized file as is or resize slightly larger.
If you don't have a left thumb, the CRP PO/MT-XVI notification allows the right thumb; if both thumbs are missing it allows another finger of the left hand starting from the forefinger, and then other fingers or a toe. In such cases you must state the finger and hand (or toe) in the uploaded document. Check your own notice's wording.

The handwritten declaration: legible, not capital
- Copy the declaration text from your notice onto plain white paper in black ink, in your normal running handwriting. Writing it all in capitals gets it rejected.
- Write it as a compact block about twice as wide as it is tall, so it fits the 2 : 1 shape (800 × 400).
- Fill in your name and date of birth where the blanks are. Don't sign it unless the notice asks you to.
- Photograph it flat, with no shadow and no fingers in the frame.
- In the cropper choose Free, type a 2 : 1 box such as Width 2400, Height 1200 (a big box, because these count pixels of your original photo), and frame the text with a margin. Save as JPG.
- Resize to the notice's pixels and compress at 80%. A page of dark text on white paper usually lands in a 50-100 KB range at 800 × 400; if it's under, resize a little larger in the same shape.
Photo and signature
The CRP PO/MT-XVI notification asks for a recent colour passport-style photo (4.5 cm × 3.5 cm) against a light, preferably white, background, and a signature in black ink on white paper, not in capitals. Both are small in pixels, so the usual problem is being under the minimum:
- Resize the photo straight to the notice's pixels. The resizer saves at high quality, so check the size it shows next to Download image. If it's already inside the range, you're done.
- If it's under the minimum, resize to slightly larger dimensions in the same shape (for example 240 × 276 instead of 200 × 230) and check again.
- If it's over, run it through the compressor at 80%.
The SBI PO and Clerk guide walks through the same sizes for SBI's own notices.
Before you upload all four
- Each file is JPG and sits inside its own range, not just under the maximum.
- Thumb ridges are visible when you zoom in.
- Declaration is in English, black ink, not in capitals, and word-for-word.
- Nothing is in the wrong slot: the declaration in the signature box is a common slip.
More rejection causes are covered in exam form photo mistakes.
The quick way
Crop each file to its shape, resize to your notice's pixels, and check or adjust the size in the free image compressor. Free, no sign-up, and your thumb impression and signature never leave your device.
Frequently asked questions
- What are the IBPS thumb impression size and pixels?
- IBPS's CRP PO/MT-XVI notification (2026), Annexure III, asks for a JPG/JPEG left thumb impression of 240 × 240 pixels at 200 DPI (3 cm × 3 cm), 20-50 KB, in black or blue ink on white paper. Check the annexure of your own notice.
- What should the IBPS handwritten declaration say?
- Copy the text printed in your IBPS notice exactly, in English, in black ink, in normal handwriting rather than capitals. The CRP PO/MT-XVI wording is: "I, ___ (Name of the candidate), hereby declare that all the information submitted by me in the application form is correct, true and valid. I will present the supporting documents as and when required."
- Can I use my right thumb if I don't have a left thumb?
- The CRP PO/MT-XVI notification allows it, with a note in the upload saying which finger or hand was used. Check the exact wording in your own notice.
- Why is my IBPS signature under 10 KB?
- At 140 × 60 pixels, a clean signature is tiny. Resize it to slightly larger dimensions in the same shape and check the size again.
- Is it safe to make these files online?
- With EveryApp, the cropping, resizing and compressing happen in your browser, so your thumb impression and signature are never uploaded.
