Documents Required for ITR Filing: Free PDF Checklist
A checklist of documents required for ITR filing in India (Form 16, AIS, 26AS, rent receipts and more) and how to keep them as tidy, organised PDFs for free.
Published · 6 min read
The documents required for ITR filing usually start with your PAN and Aadhaar, Form 16 from your employer, and the Annual Information Statement (AIS) and Form 26AS from the income tax e-filing portal. Add interest certificates, capital gains statements, rent receipts and investment proofs if they apply. Keep each set as one clear PDF, combined with the free PDF merger, and filing gets much easier. This is a practical checklist, not tax advice; check your year's rules on the official portal or with a tax professional.
When to start gathering
Tax season for most salaried people falls around June and July. Employers usually issue Form 16 by mid-June, and the AIS and Form 26AS on the e-filing portal fill in as banks and companies report the year's figures. The due date is set each year and has been extended in some years, so check the current notice on the official e-filing portal (incometax.gov.in) rather than relying on last year's date. Starting your folder in May means you're only waiting for Form 16 when June arrives.
The ITR documents checklist
| Document | Where it comes from | Who needs it |
|---|---|---|
| PAN and Aadhaar | Your own records | Everyone; they should be linked |
| Bank account details | Your bank | Everyone; the refund account should be pre-validated on the portal |
| Form 16 (Part A and Part B) | Your employer | Salaried taxpayers |
| Salary slips | Your employer | Useful to cross-check Form 16, especially if you changed jobs |
| Annual Information Statement (AIS) and Taxpayer Information Summary (TIS) | E-filing portal | Everyone; shows interest, dividends, trades and more reported against your PAN |
| Form 26AS | E-filing portal | Everyone; shows tax deducted or paid against your PAN |
| Form 16A | Banks and other deductors | Anyone with TDS on non-salary income, like FD interest |
| Interest certificates | Banks, post office | Savings and FD holders |
| Capital gains statements | Your broker, mutual fund registrar | Anyone who sold shares, funds or property |
| Rent receipts and rental agreement | Your landlord | Salaried people claiming HRA, depending on regime |
| Investment and insurance proofs | Insurers, PPF, ELSS and similar | People claiming deductions, depending on regime |
| Home loan interest certificate | Your lender | Home loan borrowers |
| Donation receipts | The organisation | People claiming donation deductions |
| Last year's ITR acknowledgement | E-filing portal | Handy for reference and carried-forward losses |
Whether deductions like HRA and investment proofs matter depends on which tax regime you choose; the new regime is the default and allows fewer deductions than the old one. The rules and limits change, so check the current year's guidance before deciding what to collect.
Turn the pile into five tidy PDFs
A folder of 40 loose files is hard to use. Group them instead:
- Income. Form 16, salary slips, Form 16A and interest certificates.
- Tax credit statements. AIS, TIS and Form 26AS downloaded from the portal.
- Deductions. Rent receipts, rental agreement, investment and insurance proofs, home loan certificate, donation receipts.
- Capital gains. Broker and mutual fund statements.
- Filed return. The ITR form and acknowledgement once you file.
For each group, open the free PDF merger, add the files, use ↑ and ↓ to put them in a sensible order (by month, or by type), click Merge N PDFs and Download merged PDF. Up to 30 files fit in one merge, each up to 100 MB. Rename the result, for example FY2025-26-income.pdf.
Paper receipts can go in too. Photograph each rent receipt flat, in good light, turn the photos into a PDF with the free JPG to PDF converter at A4 size, then merge that PDF into the deductions bundle.
Handling password-protected statements
Many documents arrive locked: Form 16 sometimes, bank statements and AIS downloads often (the password is commonly built from your PAN and date of birth, but follow the instructions that came with the file). The merger can't open locked PDFs and will say which file is password-protected. Open each one with its password in your PDF viewer and save or print an unlocked copy, then merge the copies. Unlock PDF also removes a password you know, but it is a pro tool that uploads the file for processing and deletes it right after (a free account can try it on a PDF up to 2 MB). Keep the unlocked bundle somewhere private.
Only send what's asked
If an employer, CA or loan officer asks for "your Form 16 and 26AS", don't send the whole deductions bundle. Pull out just the pages they need with the free PDF splitter: choose One PDF with these pages and type the range, like 1-4. Less data shared means less to worry about.
Keeping the files small enough to email
Downloaded statements from the portal are small. Phone photos of receipts are not; ten of them can push a bundle past 20 MB. Two fixes:
- Shrink photos before converting: resize them to about 1,000-1,200 pixels wide with the free image resizer (a receipt stays readable at that width), then lower the quality a little with the free image compressor.
- Or compress the finished PDF with Compress PDF. It's a Pro tool: with a free account you can try it free on PDFs of up to 2 pages, up to 5 free tries a day across Pro tools. The file is uploaded, deleted as soon as it's compressed, and the result is kept for 1 hour. For bundles you'd rather not upload, stick to shrinking the photos first.
See how to compress a PDF for email for more on size limits.
Why keep them organised after filing
Notices and queries can arrive months or years after you file, and you may need the same proofs for a loan or visa application. Keep each year's five PDFs in a folder named for the financial year, with a backup copy somewhere you control. Our post on scanning and storing important documents has a simple system, and the tax-saving checklist before March helps you collect proofs during the year instead of at the last minute.
All the free PDF tools mentioned here run on your own device, so your Form 16, PAN and bank details are never uploaded to combine or split them.

Frequently asked questions
- What documents are required for ITR filing for salaried employees?
- Typically PAN, Aadhaar, bank details, Form 16, AIS and Form 26AS, plus interest certificates and any proofs for deductions you claim. Check the current year's rules on the e-filing portal.
- Where do I download AIS and Form 26AS?
- From the official income tax e-filing portal after logging in with your PAN. Both list income and tax reported against your PAN.
- What is the last date to file ITR this year?
- It's set each year and has sometimes been extended. Check the current notice on incometax.gov.in instead of relying on an earlier year's date.
- Can I merge password-protected Form 16 or bank statements?
- Not directly. Open each with its password, save an unlocked copy, then merge the copies with the free PDF merger.
- Are my tax documents uploaded when I merge them?
- No. The free PDF merger works on your device, and your files never leave it.
