Travel Documents Checklist: One Free PDF on Your Phone
A travel documents checklist for holiday trips, plus how to turn your passport, visa, tickets and insurance into one offline PDF, free and without uploading.
Published · 6 min read
A good travel documents checklist covers four things: identity (passport or ID, visa), getting there (tickets, boarding passes), staying there (hotel bookings) and the safety net (insurance, emergency contacts). Carry the originals you need, and keep a backup copy of everything as one PDF saved on your phone, so it opens with no signal. The free JPG to PDF converter turns photos of your documents into that PDF in a minute, and your photos are never uploaded.
Roaming data is patchy and the hotel email is always buried. A single file named Trip-Goa-Dec.pdf in your phone's Files app beats searching three inboxes at the check-in desk.
The travel documents checklist
Not every trip needs every item. Tick what applies:
| Group | Documents | Original needed? |
|---|---|---|
| Identity | Passport (photo page and any page with your visa or address), national ID, driving licence | Usually yes |
| Entry | Visa or e-visa approval, any entry form or registration the destination asks for | Often yes, check the rules |
| Getting there | Flight, train or bus tickets, boarding passes, car hire booking | Depends on the carrier |
| Staying there | Hotel or homestay confirmations with address and phone number | Rarely |
| Safety net | Travel insurance policy and helpline, health card, vaccination record if required | Carry the policy number |
| Money | A note of card helpline numbers (not card numbers), forex receipt | No |
| Contacts | Emergency contacts, your embassy or consulate address for international trips | No |
The right-hand column matters. A PDF on your phone is a backup and a convenience, not a replacement for documents an airline, border officer or hotel asks to see in original. What counts as acceptable varies by country, airline and even airport, so check the official website of the airline and the destination's immigration authority before you leave.
Step 1: Photograph or collect each document
For paper documents (passport pages, printed visas, insurance cards), take a photo on a flat, plain surface in good daylight. Hold the phone straight above the page so the edges are square, and fill the frame. One page per photo.
For documents that arrive as email or app screenshots (e-tickets, hotel confirmations), take a screenshot of the part that matters: name, date, booking reference and address. If a booking arrived as a PDF, keep it as a PDF; you'll add it in Step 3.
Name the photos in the order you'll need them (01-passport.jpg, 02-visa.jpg) so the picker lists them in order.
Step 2: Turn the photos into one PDF
Open the free JPG to PDF converter in your phone or laptop browser:
- Tap Choose images and select your photos and screenshots. JPG, PNG, WebP, GIF and BMP all work, up to 50 images at a time.
- Check the order. Use the ↑ and ↓ buttons to move a page, or Remove to drop one.
- Pick a Page size. A4 or US Letter makes a tidy document that prints well; Same as image keeps screenshots at their own shape, which reads better on a phone.
- Pick a Margin: None for the largest view on a small screen.
- Tap Create PDF, then Download PDF.
The file saves as images.pdf. Rename it to something you'll find in a hurry, like Trip-Dubai-Dec-2026.pdf. If your photos came off an iPhone as HEIC, our guide to turning HEIC photos into a PDF covers that first.
Step 3: Add the PDFs you already have
Airline e-tickets and insurance policies often arrive as PDFs. To put them in the same file, open the free PDF merger, add your new photo PDF and those PDFs, order them with the arrows and merge. Up to 30 files go in at once. Our guide to combining PDFs and images into one PDF shows this in more detail.
Step 4: Check the size and save it offline
A dozen phone photos can make a PDF of 20-40 MB. That opens fine on a phone, but it's heavy to email to a travel companion. Two options:
- Shrink the photos before Step 2: resize each to about 1,200 pixels wide with the free image resizer, then lower the quality a little with the free image compressor. A document photo at that width is still easy to read.
- Or compress the finished PDF with Compress PDF. It's a Pro tool: with a free account you can try it free on PDFs of up to 2 pages, up to 5 free tries a day across Pro tools. A dozen-page PDF is past that sample, so the first option is the free route. Because it runs on our servers, the file is uploaded, deleted as soon as it's compressed, and the result is kept for 1 hour.
Then make sure the file really is on the phone, not just a link to the cloud. On iPhone, save it to On My iPhone in the Files app; on Android, check it's in your Downloads folder. Turn on airplane mode and open it once to prove it works without signal.
Keeping the file safe
A travel PDF holds your passport number, birth date and address, so treat it like the passport itself:
- Keep it on your phone and one trusted place (for example, emailed to yourself), not in group chats.
- If you share a copy with a hotel or agent who only needs one page, send just that page. The free PDF splitter can pull out a single page.
- Delete the PDF after the trip if you won't need it again; our post on scanning and storing important documents has a simple system.

Frequently asked questions
- Can I show a PDF of my passport instead of the original?
- Usually not. Airlines and border officers generally need the original passport and visa. A PDF copy helps if a document is lost or you need the details quickly. Check your airline's and destination's official rules.
- Will the PDF open without internet?
- Yes, once it's saved on the phone itself. Save it to local storage, then test it in airplane mode before you travel.
- Are my document photos uploaded when I make the PDF?
- No. The free JPG to PDF converter builds the PDF on your device, and your photos never leave it.
- How many documents can I put in one PDF?
- Up to 50 images at once with the JPG to PDF converter. To add existing PDFs, merge up to 30 files at a time with the free PDF merger.
- What page size should I choose for reading on a phone?
- Same as image with no margin shows screenshots and photos as large as possible on a small screen. Choose A4 or US Letter if you plan to print the file.
