How to Compress a PDF to 500 KB for Job and Admission Forms
Get a resume, certificate bundle or scan under 500 KB for a job or admission portal. Check what's making it big first; text PDFs are usually small already.

To compress a PDF to 500 KB, first find out why it's over. A typed resume or letter is almost always under 500 KB already; it's scanned pages and photos that push a PDF past the limit. Run the scan through Compress PDF on Recommended, which often gets a short scan well under 500 KB while keeping it sharp; if not, try Strong or drop pages you don't need. It's a Pro tool you can try free with a free account on PDFs of up to 2 pages.
500 KB is a popular limit on job portals, university and college admission forms, and internship applications. It's generous for typed documents and comfortable for a few scanned pages, so most people can get there without touching the quality much.
Step 1: Check what kind of PDF you have
Open the file's properties (Size column in File Explorer, Get Info on a Mac) and count the pages. Then divide the size by the pages:
| Size per page | What it is | What to do |
|---|---|---|
| Under 100 KB | Typed text, exported from Word or similar | It's probably under 500 KB already; if not, look for big photos or extra pages |
| 100-500 KB | Text with a photo, or a light scan | Recommended level usually does it |
| Over 500 KB | A scan at high resolution, or phone photos as pages | Recommended, then Strong, or rebuild |
A typed two-page resume is usually 50-200 KB. If yours is several MB, look for a large profile photo or a background image inside it. Shrinking that photo in the original document (or removing it, if the job doesn't ask for one) and exporting the PDF again is often the cleanest fix. Our guide on what size a resume PDF should be has more on this.
Step 2: Compress the scan
- Open Compress PDF and sign in.
- Leave How much to compress on Recommended: much smaller, still sharp.
- Click Choose a file, choose your PDF (up to 100 MB) and click Start.
- Click Download result, then check the size in your file manager.
Recommended keeps about 150 pixels per inch of each page, enough to read and print clearly, and re-saves scans and photos as JPEG at a good quality. Typed text, lines and fonts aren't touched. A few-page colour scan often comes out at a fraction of its original size.
Still over 500 KB? Run the original through again on Strong (about 100 pixels per inch, lower JPEG quality). Open the result and zoom in on the smallest text, such as dates or registration numbers. If it's readable, upload it.
If the tool says the PDF is already about as small as it can get, the saving would have been under about 10%. It's left unchanged and doesn't count against your allowance. That usually means the PDF is mostly text, so the size is coming from somewhere else: too many pages, or content the compressor leaves alone, like black-and-white fax-style scans.
Step 3: If it's too many pages, not too big pages
Sometimes a bundle is simply long: ten certificates scanned into one file. Options:
- Upload each document separately, if the portal has separate slots. Split the bundle with the free PDF splitter using A PDF for each range, for example
1-2, 3, 4-6. Each part is then well under the limit. - Leave out what isn't asked for. Blank backs of pages, instruction sheets and duplicate copies all count. To shed their KB, type their numbers into the free PDF page remover, which builds a new file from the pages you keep, so their KB really go. For scanner blank pages, see removing blank pages from a PDF.
- Check the budget. 500 KB across 5 pages is 100 KB a page, which needs Strong or a rebuild. Across 10 pages it's 50 KB a page, which is tight for readable text.
Step 4: The free rebuild, when you made the PDF from photos
If you created the PDF from phone photos, the free way is to remake it with smaller images:
- Resize the photos to about 1200 pixels wide with the free image resizer.
- Compress them as JPG at about 70% with the free image compressor.
- Rebuild with the free JPG to PDF converter, which shows the size before you download.
At that size, a printed page usually comes out around 100-250 KB, so two or three pages fit under 500 KB. The full walkthrough is in scanning documents for online forms.
Quick reference by document
| Document | Typical route to 500 KB |
|---|---|
| Resume or cover letter (typed) | Usually already under; re-export with a smaller photo if not |
| Degree or marksheet scan, 1-2 pages | Compress PDF, Recommended |
| Certificate bundle, 5+ pages | Split per document, or Strong |
| Phone-photo PDF | Rebuild from resized, compressed JPGs |
| Passport or ID, front and back | Recommended, or rebuild on one A4 page |
Every portal sets its own rules, including whether 500 KB means 500 × 1,000 or 500 × 1,024 bytes. Aim for 450 KB or less, and read the official instructions for format and page requirements. Smaller limits? See compress a PDF to 200 KB. A larger one? Compress a PDF to 1 MB.

Compress PDF is a Pro tool. With a free account you can try it on PDFs of up to 2 pages, which covers most single certificates; free accounts get up to 5 free tries a day across Pro tools. For longer bundles, see the pricing page, or use the free split and rebuild routes above. Your PDF is uploaded, deleted as soon as it's compressed, and the result is kept for 1 hour.
Shrink it to 500 KB now
Open Compress PDF, keep the Recommended level, and check the result. For long bundles, split them with the free PDF splitter and upload each document on its own.
Frequently asked questions
- Why is my resume PDF bigger than 500 KB?
- Usually a large photo or background image inside it. Shrink or remove the image in the original document and export the PDF again.
- Which compression level gets a PDF under 500 KB?
- Start with Recommended, which keeps scans sharp. If it's still over, use Strong and check that the smallest text is readable.
- The tool says my PDF is already as small as it can get. Now what?
- It's mostly text, so the size comes from page count or content that isn't a normal photo or scan. Remove pages you don't need or split it into separate uploads.
- Is 500 KB 500,000 bytes or 512,000 bytes?
- It depends on the portal. Aim for 450 KB or less and it's under either way.
- Can I compress a PDF to 500 KB for free?
- Compress PDF is free to try with a free account on PDFs up to 2 pages. Splitting, removing pages and rebuilding from photos are free on EveryApp for any length.
