To get an Excel sheet onto one PDF page, set the sheet's scaling before you convert: in Excel, go to the Page Layout tab and set Width to 1 page (and Height to 1 page if the whole sheet must fit). Switch to landscape for wide sheets, set a print area if you only need part of the sheet, save, then convert with Excel to PDF or Excel's own Save as PDF. The converter follows the page setup saved in your file, so the fit you set is the fit you get. Excel to PDF is a Pro tool you can try free with a free account on spreadsheets up to 2 MB.
Why spreadsheets spill onto extra pages
A sheet has no natural page size. When it's printed or turned into a PDF, it's cut into paper-sized pieces: first down the rows, then across the columns. A table just a few columns too wide for the paper ends up with its last columns on separate pages, after all the rows, which makes it nearly impossible to read.
The fix is to tell the sheet how to fit the paper. That setting lives in the file, so it works for printing, for Excel's own PDF export and for converters like ours.
Step 1: Set the print area (optional)
If you only need part of the sheet, such as the summary table and not the workings beside it:
- Select the cells you want.
- On the Page Layout tab, click Print Area, then Set Print Area.
Everything outside that range is left out of the PDF. This alone often solves the "extra pages" problem, because stray content far off to the side, even a single forgotten cell, can create pages you didn't expect.
Step 2: Choose orientation and paper
On the Page Layout tab:
- Orientation: choose Landscape for sheets wider than they are tall. It gives you about 30-40% more width, depending on the paper size.
- Size: choose A4 or Letter to match where it will be printed.
- Margins: Narrow gains a little more room.
Step 3: Fit to one page
Still on Page Layout, in the Scale to Fit group:
| Your sheet | Width | Height | Result |
|---|---|---|---|
| Wide, but not too long | 1 page | 1 page | Whole sheet on one page |
| Wide and long (hundreds of rows) | 1 page | Automatic | All columns on each page, rows continue onto further pages |
| Fits across already, just long | Automatic | Automatic | Normal page breaks |
Width 1 page, Height Automatic is the setting most people actually want. Squeezing hundreds of rows onto one page makes the text far too small to read. Check the Scale percentage Excel shows: below about 50-60%, printed text gets hard to read, so consider a print area or fewer columns instead.
You can do the same from File, Print: change No Scaling to Fit Sheet on One Page or Fit All Columns on One Page. That changes the same setting on the sheet.
Step 4: Make long tables readable
- Repeat the header row on every page: Page Layout, Print Titles, then set Rows to repeat at top (for example
$1:$1). - Print gridlines if you want the cell borders visible: Page Layout, Sheet Options, tick Print under Gridlines. Or add borders to the table.
- Check page breaks in View, Page Break Preview. You can drag the blue lines to change where pages split.
Then save the file. The converter reads the settings from the saved file, not from your screen.
Step 5: Convert to PDF
With Excel itself: File, then Save As (or Export), and choose PDF. Excel uses the same page setup. In the options you can pick the active sheet or the entire workbook.
With Excel to PDF, useful when you're not on a computer with Excel, or when you've been sent an XLS, ODS or CSV file:
- Open Excel to PDF and sign in (free accounts can try it).
- Click Choose a file: XLSX, XLS, ODS or CSV, up to 50 MB.
- Click Start, then Download result. The PDF is available for 1 hour.
The converter has no scaling controls of its own. It converts every sheet in the workbook, each using its own print area and page setup. If you only want one sheet, save a copy of the workbook with the other sheets deleted, and convert that.
CSV files
A CSV is plain data with no page setup at all, so it converts with default settings and wide tables will still spill across pages. Open the CSV in Excel, Google Sheets, LibreOffice Calc or the free Spreadsheet app, apply the steps above, save it as XLSX, and convert that file instead.
Google Sheets
Google Sheets has its own route: File, then Download, then PDF, where you can choose Fit to width or Fit to page and the orientation in the export screen. If you download the sheet as XLSX to convert here, the PDF export settings from Sheets may not carry over, so check the scaling in Excel before converting.

Frequently asked questions
- How do I fit an Excel sheet on one page as a PDF?
- On the Page Layout tab, set Width and Height to 1 page under Scale to Fit, save, then save or convert to PDF.
- Why does my Excel PDF have blank or extra pages?
- Something outside your table, such as a stray value or formatting in a far-off cell, is inside the print range. Set a print area around just your table.
- Can I fit all columns on one page but keep many rows?
- Yes. Set Width to 1 page and Height to Automatic. Every page shows all columns, and rows continue onto more pages.
- Does Excel to PDF convert all sheets?
- Yes. Every sheet is converted, using each sheet's own print area and page setup.
- Can I set scaling in the Excel to PDF converter?
- No. It follows the page setup saved in the file, so set the scaling in Excel, save, and then convert.
